OUR EXPERIENCE IN EUROPE

Why The Last Hour Defines The Next Show

Most exhibitors lose more value at strip-out than at any other phase. Rushed crews, tight venue clocks, careless packing, components dragged across floors. By the time materials reach storage, half of them are no longer show-ready.

We treat dismantle as a controlled operation. Briefed teams, the right tools, defined sequences, and protective packing keep your stand intact. The pack-down isn’t the end of the project. It’s the start of the next one.

Why Dismantle Matters

Where Care Becomes A Crew Habit

  • Reverse-build sequences protecting structural integrity and surface finishes
  • Component-level inventory logged before crates leave the venue floor
  • Certified electrical strip-out ensuring safety and reusability of fixtures
  • Venue handback handled with paperwork, deposits, and clearance signed off

Every dismantle we run is a project in itself. Same discipline as the build, just running in reverse.

The Strip-Out Workflow

Stripped Down In Phases, Without Damage

01 Pre-Strip Brief: Crew briefed on pack-down sequence, crate plan, and timelines.

02 Soft Strip: Graphics, fabrics, AV, and lighting carefully removed.

03 Structural Strip: Walls, joinery, and framing broken down in reverse build order.

04 Inventory & Pack: Components logged, crated, and labelled for transport.

05 Venue Handback: Plot cleared, paperwork signed, deposits reclaimed.

What Goes Into A Damage-Free Strip-Out

Strip-out looks easy from the outside. Pull things apart, load the truck, leave. The reality is the opposite. Done well, dismantle protects months of investment and sets up the next show. Done badly, it writes off stands that should have lasted years. Here’s what shapes how we run it.

Pre-Strip-Out Planning

Long before the show closes, the dismantle plan is locked. Crew rosters, crate inventories, transport slots, storage destinations, and venue exit timings are all mapped to the hour. By the time the last visitor walks out, the strip-out is already in motion.

Crew Briefing & Tool Readiness

  • Pack-down sequence walked through with every crew member
  • PPE checked, tools allocated, crates pre-positioned
  • Hazardous material protocols reviewed where applicable
  • Communication channels set up between crew leads and project manager

Soft Strip First

The lightest, most fragile, and most reusable items come down first. Graphics, fabric panels, soft furnishings, AV equipment, and accent lighting are all removed before any heavy work begins. Removing them early prevents damage during structural strip-out.

Typical Soft Strip Order:

  • Graphics & Vinyls, peeled or unclipped to preserve reusability
  • Fabric Backdrops, folded and packed in protective covers
  • AV Equipment, dismounted, cabled, and crated for transit
  • Lighting Fixtures, disconnected by certified electricians
  • Furniture & Soft Goods, sorted between rental returns and stored items

Certified Electrical Disconnection

Electrical strip-out is handled only by certified electricians. Power is isolated at the source, fixtures are tested, and components are packed in anti-static, padded crates. Cables are coiled, labelled, and stored to prevent kinks and breakage.

Structural Dismantling

  1. Ceilings and overhead rigging removed first under safety supervision
  2. Wall panels detached carefully to protect surface finishes
  3. Joinery and counters dismantled with hardware kept intact
  4. Framing and structural elements broken down in reverse build order
  5. Flooring lifted last to maintain a safe surface throughout

Surface Protection During Strip-Out

Premium finishes deserve protection. Veneer panels get foam-wrapped before they move. Glass and acrylic panels get edge guards. Painted surfaces get corner protectors. Small steps that prevent the kind of damage that costs the next show’s budget.

Component Inventory & Logging

  • Crate-level inventory list created during pack-down
  • Photographic record of component condition before transport
  • Damage notes logged for any wear sustained during the show
  • Asset tags scanned into a digital tracking system
  • Inventory reports sent to client and storage team

Custom Crating & Pack-Down

Reusable crates with foam linings, dividers, and padded interiors keep components safe in transit. Each crate is labelled with contents, weight, fragility, and destination. Loading sequences are planned to maximise truck space and protect heavier items below lighter ones.

Hazardous & Special Materials

Some items need careful handling. Lithium batteries, glass panels, lighting controllers, and AV equipment all carry transport regulations. Our crews are briefed on the protocols, ensuring nothing gets flagged at venue exit checks or causes damage during transport.

Waste Segregation & Recycling

  • Recyclable materials separated at source on the venue floor
  • Single-use waste sorted into venue waste streams correctly
  • Hazardous waste handled through certified disposal partners
  • Donation pathways activated for reusable but unbranded items
  • Sustainability reports prepared for ESG-conscious clients

Venue Handback Procedures

Most venues require the plot to be returned in the condition it was leased. Floor cleaned, no debris left, tape and adhesives removed, walls undamaged. Our crews handle this final step properly, signing off paperwork with venue staff and reclaiming any deposits or bonds posted at build time.

Damage Reporting & Insurance Support

  1. Pre-strip and post-strip photographic records
  2. Damage logs with cause, location, and severity notes
  3. Coordination with insurance providers where applicable
  4. Repair quotations and replacement sourcing if required
  5. Transparent reporting back to the client within 48 hours

Cross-Border Strip-Outs

International shows add layers. Customs paperwork, return shipments, local crew partnerships, regional compliance norms. We handle international dismantles across the Middle East, Europe, and Asia, partnering with vetted local crews where on-ground manpower is needed.

Single Project Manager Through The Cycle

  • Same project manager from build through to dismantle
  • Real-time updates to the client during pack-down
  • Single inventory list across the full lifecycle
  • One escalation point for any issues or decisions
  • Continuity that prevents handover gaps and lost components

The result? A strip-out that protects your investment, clears the venue cleanly, and sets up the next show without surprises.

Frequently Asked Questions

  • How quickly does the dismantle start after show close? +
Most strip-outs begin within 30 to 60 minutes of show close, depending on venue access rules. Crews are pre-positioned, briefed, and ready, so no time is lost waiting for plans to be made on the spot.
  • Can you dismantle stands built by other agencies? +
Yes. We take on dismantle-only briefs regularly. As long as the build documentation, drawings, or component inventory is shared in advance, our crews can plan a safe and structured strip-out for stands built by any agency.
  • What happens to stand components after dismantle? +
Components are inventoried, packed into protective crates, and transported to storage. Reusable elements are stored for future shows, refurbishable items are routed for refresh, and end-of-life materials are responsibly recycled or disposed of.
  • How do you prevent damage during pack-down? +
Through reverse-build sequencing, surface protection materials, certified electrical handling, and crate-level packing. Crews are briefed on protocols before strip-out begins, so the discipline is set before the first panel comes off the wall.
  • Do you handle venue handback paperwork? +
Absolutely. Plot clearance, floor cleaning, deposit reclaim, and final sign-off with venue staff are all part of the service. The client doesn't have to be on site for the handover, our project manager closes everything out cleanly.
